The Trusts and Estates Administrator (Administrator) will be responsible for managing and administering all aspects of an assigned book of trusts and estates, in addition to investment agency relationships.  The Administrator will focus on estates and trusts includable in decedent’s estates, but will also maintain a small book of on-going trust accounts. The Administrator will address client inquiries in a timely and effective manner while coordinating and overseeing all administrative duties assigned to the Middle Office to ensure a seamless client experience.  The Administrator will exercise basic decision-making authority as deemed appropriate by management. The ability to successfully identify and manage compliance and risk management issues is also important.


Essential Duties:

  • Effectively administer a book of fiduciary and investment agency accounts, with an emphasis on estates and includable trusts.
  • Identify actual or potential risks and proactively engage internal and/or external partners to mitigate risks.
  • Coordinate and monitor account openings, including the review and interpretation of governing documents and applicable state laws to ensure accurate and complete account setup.
  • Coordinate administrative work flow with Middle Office, and oversee daily transactions to ensure accuracy.
  • Coordinate and monitor account closings, including the gathering/distributing of assets and other related tasks, with Middle Office.
  • Collaborate with internal tax team to determine tax filings, and ensure all filings are timely.
  • Respond to client inquiries timely and thoughtfully.
  • Prepare presentation materials and manage in-person meetings with prospects, beneficiaries, co-fiduciaries and outside third-party professionals.
  • Assist private and middle market bankers with trust-related questions and inquiries.
  • Perform research and complete special projects as assigned.
  • Act as a resource to other administrators on estate administration matters.


  • 5+ years experience in estate and trust administration, preferably at a financial institution.
  • Bachelor's Degree required.
  • JD and/or industry certification preferred.
  • Firm understanding of accepted estate administration processes, timelines and concepts.
  • Outstanding client service skills, including proactive communication and problem solving.
  • Excellent written and verbal communication.
  • Strong computer skills including proficiency with trust accounting systems and MS Office.
  • Experience working directly with high net worth clients.
  • Able to work independently as well as in a team environment; ability to build collaborative working relationships with Client Advisors, Trust Officers and Private Bankers.
